PARISHIONER GUIDELINES #1
PARISHIONER/PASTORAL COUNCIL COMMUNICATION
RE: Parish Pastoral Council Meeting Attendance


1. Parishioners are encouraged to attend any Parish Council meeting as guests. Guests are not allowed to participate in the discussion of the meeting unless recognized by the Chairperson and are excused when the Council calls an executive session.
2. Parishioners may voice ideas, suggestions and concerns to the Council in the following ways:

A. By addressing the Council during the Open Forum which follows the opening prayer of the meeting. A time limitation for each presentation will be determined by the Chairperson at the beginning of the meeting. The Council may elect to address the matter immediately.


B. By contacting his/her Parish Council Representative or the Council Chairperson.  The parishioner may choose to: 
i. Address the Council during the Open Forum session;
ii. Submit a completed proposal (forms available in the Parish Office) to one of his/her church representatives who will make arrangements with the Council Chairperson to place the matter on the agenda. The parishioner will present the proposal to the Council and will be available to answer questions;


iii. Ask the church representative to take the matter to the Council

C. By sending a signed letter or email to the Council for consideration.


3. The Council will determine the appropriate course of action to be taken by:
    A. Acting immediately on it.
    B. Placing it on the agenda for the next Council meeting.
    C. Re- directing it to appropriate staff or Commission Team for attention.
    D. Determining that action is not needed.

The Chairperson or designee will be accountable to respond to all matters in a timely fashion, and to provide a reply to the parishioner indicating the course of action taken.

4. Council meetings are held the first Thursday of each month, except July.  An announcement of the meeting will be placed in the lector announcements and the church bulletin the weekend prior to the meeting.

5. A synopsis of the meeting will be placed in the Council Corner of the parish bulletin within two weeks after the meeting by assigned Council member/s.
